ISO 9001:2015 requires top management to review the organization’s quality management system at planned intervals to ensure it remains suitable, adequate, effective, and aligned with strategic direction. The standard does not prescribe a single meeting format or annual frequency. Organizations must define an interval that supports meaningful oversight and retain documented information showing the review results.

ISO 9001 clause 9.3 requires planned reviews by top management. Required inputs include prior action status, internal and external changes, QMS performance and effectiveness, customer satisfaction, objectives, process performance, nonconformities, audit results, supplier performance, resources, risks, and improvement opportunities. Outputs must include decisions on improvement, QMS changes, and needed resources, with documented evidence retained.

ISO 9001 requires management reviews at planned intervals but does not mandate an annual schedule. Many organizations hold a comprehensive annual review supported by quarterly or monthly performance reviews. The right cadence should reflect operational complexity, risk, customer requirements, audit activity, and the speed at which performance conditions change. Attendees commonly include the quality leader, process owners, operations leadership, customer-facing leaders, and personnel responsible for resources or risk. Involving owners of key performance data enables useful discussion, realistic actions, and clear accountability for review outputs.

Auditors typically look for a planned review cadence, complete and relevant inputs, evidence that top management participated, documented decisions and actions, assigned owners, and follow-up on prior commitments. They also assess whether outputs address improvement, QMS changes, and resource needs. Meeting minutes alone may be insufficient if they do not show data considered, decisions made, and action completion.

Record each action in a controlled log with a clear decision statement, accountable owner, target date, required resources, and completion criteria. Review open actions at the next management review and during routine operational meetings. Link actions to related audit findings, KPIs, CAPAs, or risks where applicable. This makes overdue work visible and provides objective evidence that leadership decisions produced follow-through.
