Refund Policy
Refunds, cancellations and rescheduling for training, subscriptions and services.
1. How this policy works
This policy explains refunds, cancellations and rescheduling for purchases from QMS Learning LLC. We sell to organizations, and each purchase is documented in an Order, such as a signed proposal and agreement, quote or invoice. If your Order states different refund or cancellation terms, your Order controls. This policy is part of our Terms of Service. It does not limit any right you have under law that cannot be waived.
This policy describes a refund window. It is not a guarantee of satisfaction or of any result.
2. One-time training and platform fees
Individual course purchases. If you bought a course for yourself through checkout on academy.qmslearning.com, your checkout receipt is your Order and the refund window is 3 days from purchase, not 30. Email will@qmslearning.com within 3 days with the subject line "Refund Request" and the email address you used at checkout. A refund ends your access to the course, and any certificate of completion issued for it is no longer valid.
For everything else, unless your Order says otherwise, you may request a refund of a one-time training or platform fee within 30 days after the effective date of the Order, or after your first payment if there is no signed Order.
- How to request. An authorized representative of the Customer must email will@qmslearning.com within the 30-day window with the subject line "Refund Request," naming the Order.
- What is refunded. The amounts you actually paid for the item being refunded.
- What happens to access. A refund ends the Order. Access to the accounts, courses, company-specific content and platform features purchased under it ends, and certificates of completion issued under it are no longer valid. You may request an export of your Customer Content within 30 days after the refund, as described in our Terms of Service.
- Installments. If the refund is approved, any remaining installments under that Order are cancelled.
- After 30 days. After the refund window closes, one-time fees are non-refundable, and scheduled installments remain due.
- Not refundable. Professional Services already performed, such as completed audit days or on-site sessions; travel and other expenses already incurred; and third-party costs such as exam fees and purchased copies of standards.
- Misuse. We may decline a request that we reasonably believe is abusive, for example repeated purchase and refund of the same item, or a request made after content was copied or redistributed in breach of our Terms.
3. Subscriptions and recurring fees
- Recurring fees, such as monthly platform fees or yearly coach, study plan and tracker renewals, are billed as stated in your Order.
- Money-back window. For a platform subscription or a Training Membership, you may request a refund of your first payment in writing within 30 days after it is charged. A refund ends the subscription and access to what was purchased under it. After those 30 days, the rest of this section applies.
- Minimum terms. If your Order sets a minimum term, such as 12 months, fees for the full term are due as stated in the Order, and a cancellation takes effect at the end of that term.
- You may cancel a recurring fee by emailing will@qmslearning.com before the next billing date. Cancellation takes effect at the end of the current billing period, and access continues until then.
- We do not give refunds or credits for partial billing periods, unused seats, unused features, or reductions in seats during a billing period, unless the law or your Order requires it.
- Where an Order renews automatically for a year or longer, we will remind you before the renewal date.
4. Professional Services, live sessions and on-site work
- Fees for Professional Services that have been performed are non-refundable.
- To reschedule a live session, audit or on-site visit, give us at least 10 business days' notice, unless your Order says otherwise.
- If you reschedule with less notice, cancel, or are not available at the scheduled time, you are responsible for non-refundable travel and other costs we have already incurred, and for any late-change charge stated in your Order.
- If we must cancel or reschedule, we will offer a new date or refund the fees you prepaid for the service not delivered. We are not responsible for your own travel or other costs.
5. If something is not working
If a paid Service is not performing as described, tell us at will@qmslearning.com. We will work to fix it under the limited warranty in our Terms of Service, which may include correcting or re-performing the service or refunding prepaid fees for the affected portion.
6. Payment disputes and chargebacks
Please contact us before disputing a charge with your bank or card issuer. Most issues can be resolved quickly by email. If a charge is disputed without first contacting us, we may suspend access to the Services related to that charge while the dispute is open, and we will provide our records of the Order and your use of the Services to the payment processor.
7. How refunds are paid
Approved refunds are returned to the original payment method: card payments to the same card through our payment processor, and ACH or check payments by ACH or check to the paying organization. We aim to process an approved refund within 10 business days. Your bank or card issuer controls how long it takes to appear. Refunds are issued in U.S. dollars, and we are not responsible for currency exchange differences or bank fees.
8. Taxes
If we collected sales or similar tax on a refunded amount, we refund that tax as the law allows.
